We’re looking for an Event Coordinator to be a core member of the project delivery team, supporting the planning and execution of high-touch corporate conferences and events. This role works closely with Project Leads and cross-functional teams to ensure every component of a program is tracked, organized, and delivered to the highest standard. This is an ideal opportunity for a highly organized, proactive project support professional who thrives in complex logistics environments and enjoys balancing multiple priorities at once. what you’ll do
Project Coordination
Support Project Leads throughout all phases of event planning and execution
Maintain project timelines, calendars, task trackers, and internal documentation
Coordinate meeting scheduling, agendas, notes, and follow-up action items
Assist with budget tracking, expense reconciliation, and project organization
Support communication across internal teams, vendors, partners, and clients
Build and maintain project decks, operational documents, and onsite materials
Help manage project management systems and shared team workspaces
Support project closeout activities including reconciliation and archival documentation
Planning, Participant Experience & Event Technology Support
Coordinate travel logistics including air, ground transportation, manifests, and schedules
Assist with hotel room block management, rooming lists, and attrition tracking
Support gifting programs, fulfillment coordination, and onsite distribution
Assist with registration operations, hospitality functions, breakout sessions, and ancillary meetings
Coordinate shipping, receiving, and onsite delivery logistics
Support onsite office setup, supplies management, and event breakdown
Production & Creative Support
Coordinate signage, printed materials, and event collateral production
Support sourcing and execution of décor, rentals, florals, and environmental branding elements
Onsite Event Execution
Participate in site visits and support live event delivery onsite
Serve as a key operational support partner to Project Leads during event execution
Support long onsite days during live events (typically 10+ hour days over multiple consecutive days)
Help ensure a seamless, high-quality participant and client experience
what we’re looking for
1-2+ years of experience in corporate conferences or events (agency experience preferred).
Strong organizational skills with the ability to manage multiple moving parts simultaneously
Exceptional attention to detail and follow-through
Ability to stay calm and adaptable in fast-paced, high-pressure environments
Strong problem-solving mindset and willingness to jump in where needed
Excellent written and verbal communication skills
Proficiency in Microsoft Office (especially PowerPoint and Excel); experience with Asana or equivalent tools preferred.
Familiarity with event technology platforms (registration, website, or mobile app).
Bachelor’s degree or equivalent experience.

Place of Employment
Company is primarily remote. A suitable remote work environment is required including a quiet workspace with minimal distractions, reliable internet access, and the ability to effectively collaborate with stakeholders virtually (both on and off camera).
Domestic and occasional international travel (5–10% annually, sometimes on weekends) will be required for client site visits, event execution, and company retreats. As such, candidates must reside within reasonable proximity to a major airport.
